Under limited supervision, the Contracts Administrator will be responsible for interfacing with internal and external customers regarding quotations, purchase orders, contracts negotiations, contract requirements, schedules, discrepancies and other contractual matters. The contracts administrator will support commercially tracked metrics in regards to each site’s budget to ensure all budget requirements are met and or exceeded.

Who you’ll work with 

The Contracts Administrator reports directly to U.S East Director of Programs & Commercial. Internally, they will interface daily to coordinate efforts of personnel in all operating and support groups at all levels of management while providing timely and quality service to these internal customers.  Externally, they will interface daily with customer personnel in procurement, engineering, design and quality control at all levels of management.

  • Provides contract administration support to the U.S. East Commercial and Program team.
  • Supports Commercial and Program team on the tracking, preparation and submittal of proposals in accordance with customer requirements and deadlines.
  • Works on internal procedures and document internal approvals.
  • Reviews and recommends acceptance or rejection on all customers purchase orders.
  • Enters customer purchase orders into GKN systems in accordance with policy and procedure.
  • Provides timely notification to management of program or schedule impacts.
  • Provides a coordinated company response to customer requirements and inquiries.
  • Participates in negotiations, gathers details for negotiation talks and fully administers approved contracts.
  • Coordinates entire quotation process including review of Request for Proposals (RFQs) check of estimate, compilation of quote letter, and follow-up.
  • Coordinates and supports communications and actions between company and customer for existing orders.
  • Maintains customer property database and full data files.
  • Performs property reporting for both commercial and government customers.
  • Directs/participates in project/program meetings and coordinates all data exchanges.
  • Distributes customer correspondence to key personnel and coordinates/formulates responses to customers' queries.
  • Works with customer to secure new purchase orders and develop forecasts of shipments/available business.
  • Reviews customer purchase orders for acceptability (terms & conditions, pricing, delivery, specifications, government regulations and legal requirements) and prepares sales order and related directives.
  • Maintains a constant awareness towards safety in the workplace and notifies supervision immediately of hazardous conditions and practices.
  • Exhibits commitment to quality performance in all aspects of every task or project performed


About you

Required Qualifications:

  • Minimum of Associate’s degree in business, law, engineering, or other related field required.
  • 2+ years of contract administration experience in commercial and government contracts/sub-contracts required.
  • Advanced experience with MS Office (Excel, PowerPoint, Word, Outlook) required.
  • 5% travel required.
  • U.S. Person per ITAR regulations to comply with export compliance and site SSA requirements.

Preferred Qualifications:

  • Working knowledge of FAR/DFARS preferred. 
  • Manufacturing and/or Aerospace background preferred.
  • Excellent interpersonal, negotiation, organizational and communication skills.
  • GKN experience preferred.
